ReadnQuiz: Starting a New Year

ReadnQuiz offers three levels of rostering — pick the one that fits your school.

  1. Import Student File is the manual (old school) option. You will upload your students and import – only new students will be added. You will then follow the instructions in this article to complete the rostering process.
  2. Comprehensive Rostering does it all in one step: upload the student file with classes, and ReadnQuiz adds, updates, promotes, and graduates students, rosters your classes and removes students who have left.
  3. Auto Rostering is fully hands-off: your IT staff connects your SIS to ReadnQuiz once, and everything — students, teachers, classes, and rostering — stays current automatically, every night.

If you are using Comprehensive Rostering, get your Excel or CSV file with your complete student list (not just new students) with classes. If your file contains students who will not be using ReadnQuiz, you can quickly exclude these classes so they will not be imported or rostered. Click on Admin/Comprehensive Rostering. This will take care of almost all your “new year” tasks. Skip to Update Reporting Periods.

If you have Auto Rostering set up, you don’t have much to do. You can immediately skip to Update Reporting Periods.

Promote and Graduate Students

Go to Admin/Manage School and click Promote Students. You will see a snapshot of your grade counts and the last time you promoted. Your graduating students are kept in our system and are available to an upper school in your district using ReadnQuiz.

Importing New Students

Prepare a list of your students (Excel or CSV). Go to Admin/Manage Students and click on Import Student File.

Note

You can import your entire school list. ReadnQuiz will not re-import a student already in the database. Only new students will be added. If you import a grade or class that won’t be using ReadnQuiz, you can easily delete them after you have assigned students to their classes. Use View Unassigned Students, then Delete Unassigned Students.

Note

It is highly recommended that you import your entire student list in one file. There is absolutely no benefit to importing one class at a time. It just makes much more work for you. Classes are assigned later in the process.

Students may also be added manually on the Manage Student page.

Transferring New Students from Lower School (If applicable)

If you have one or more lower schools using ReadnQuiz, their graduating classes are available for transfer in to your school, complete with quiz histories. The students have already been promoted and will be transferred into your lowest grade.

Be sure you have promoted your students before transferring in new students.

Go to Admin/Manage School/Transfer Students. Here will be a table with your feeder schools and their graduating class status. When you see that a class is ready to transfer in, click Transfer In. Each school may be transferred at different times if they are not all ready at the same time.

If you have never set up your feeder schools, click on Add/Remove Feeder Schools. If your district is set up as such with ReadnQuiz, you will see all the available feeder schools. Choose those which feed to your school and go back to Transfer Students. If you know of a school using ReadnQuiz that should feed your school and it is not shown, please contact Tech Support and we’ll get them into your Feeder table.

Add/Delete Teachers

Go to Admin/Manage Teachers to keep your teacher list up to date.

Add/Delete Classes

Go to Admin/Manage Classes to add and delete classes for the new year. Unless you set a teacher as Admin, they will not be able to see any students until you assign them to a class and then add students to the class.

Assign Students to Classes

Go to Admin/Assign to Classes. To begin the year, you may want to remove all students from their previous classes. You can do this by clicking Clear All Classes.

Now choose a grade, and then choose a class to assign them to. Click the checkbox for each student then click » to move them over to the class.

Delete Students No Longer At School

After you’ve put all of your students into their classes, you may have students who are still unassigned and no longer at your school. You can easily delete these students and trim your student count down to only those using ReadnQuiz. Click on View Unassigned Students and review the list. When you are sure none of these students ought to be in a class, you can delete them by clicking Delete Unassigned Students.

Update Reporting Periods

Go to Admin/Manage School and click Reporting Periods. First change your School Year. This is your default reporting period. You cannot change the name of this first entry but you can change the dates. Next add or update any other reporting periods you’ll want to use. This is an important step because every report depends on a reporting period and you will not see any student data if there is no current reporting period on which to run a report.

Teacher Access

Teachers can see only students in their classes, unless they have been given Admin permissions by the Program Admin. This is done in Admin/Manage Teachers. See the table below for tasks permitted at each level.

Managing Your Student Count

During the school year, you are responsible for managing your student count. You can add students any time you need to without clearing it with us or buying new “seats”. We bill on your average student count so as long as you remove students no longer in the program, you will probably come out at what you estimated at the beginning of the year. And if you have new classes that want to participate, add them! You will pay any student overages, prorated, at renewal. Likewise, if you happen to go under your estimate, you will receive a credit.

It’s easy to see which students are not using the program. Go to Admin/Assign to Classes and click View Unassigned Students. You will see a list of all students not in a class. You can delete them all if you wish.
