Objective

To keep students, teachers and classes synced between the district/school Student Information System (SIS) and ReadnQuiz.

Overview

Your IT staff will need to coordinate with us to get set up. We have three options:

  • Custom export from your Student Information System (SIS) — 3 files
  • OneRoster 1.1 export from your SIS
  • ClassLink

Files will be placed onto our secure SFTP server. The refresh period may be as often as once/day. Students, Teachers, and Classes will be added, removed, transferred, and updated.

How to Get Started

Send an email to support with the following information:

  • District Name
  • Names of schools to include
  • Name and email of your tech contact that will manage the process

We will connect with your tech contact and supply an sftp account where your files can be securely uploaded.

How Auto Rostering Works

This Auto Rostering process is not affiliated with any third-party program, specifically LMS programs like Clever, PowerSchool, etc. That means we are not a partner and do not use any of their software, but we do use the information in those programs that you will export via custom reports. This is a DIY rostering process — you will create the custom reports in your SIS or LMS and drop the files onto our SFTP server. In most school information systems, you can create custom reports that will run automatically, on a certain schedule, and send the resulting files to an SFTP server. So, you can, most likely, make this Auto Rostering process completely automatic.

How Auto Rostering Updates ReadnQuiz

Staying in Sync

Your school/district has a master database of all students, teachers, and class rosters. Keeping this data up to date in ReadnQuiz shouldn’t be additional work. With a little initial effort to create the exports from your SIS, you won’t have to worry about updating ReadnQuiz again.

Students

Students will be added, deleted, updated, and transferred between classes and/or schools. Students previously deleted from your SIS (and ReadnQuiz) will be reinstated and transferred to any school in the district (if necessary) with full quiz history.

If a student is manually added to ReadnQuiz using the student’s ID, the next Auto Roster will identify the student and merge the student into the SIS record, preserving any quizzes taken.

Students may be in multiple classes. Students may be at only one school in ReadnQuiz.

Teachers

Teachers will be added, deleted, updated, and transferred and added or removed from classes. They may be assigned to multiple classes, as Lead or Team Member. There may be more than one teacher assigned to a class but only one Lead Teacher.

If a teacher is manually added to ReadnQuiz, the next Auto Roster will identify the teacher by using the first and last names. The teacher will be merged into the SIS record.

Teachers may be at multiple schools within the district.

Classes

Classes will be added, deleted, and updated. Class names that are not unique will be appended with the teacher’s last name.

Manually Added

Even with Auto Rostering, you may still want to create classes, teacher accounts or student accounts in ReadnQuiz for many different reasons. Auto Rostering will not affect any manually added classes, teachers, or students. For example, you may want to group students in ReadnQuiz, by manually adding a class, for a reading competition. You can also add a teacher you wish to have oversight of a class that is not officially assigned to that class in your SIS. You may get a new student that you want to get involved right away, but you are between Auto Rostering updates. If you do manually add a class, teacher or student that is also in your SIS, the next Auto Roster will identify and “pick up” the class, teacher, or student. If the manually added class, teacher or student is not in your SIS, Auto Rostering will not delete the record and will not update it. It will remain beyond the reach of the Auto Rostering process. Example: If you are Auto Rostering once/week and get a new student added to a class, you can manually add that student and add them to a class in ReadnQuiz. The student may begin taking quizzes. During the next Auto Rostering process, this new student will be merged into the official SIS student record and all quizzes taken will be preserved.
